Switching

Switching is
easier than you think.

From spreadsheets, from a folder structure, or from another system. You bring what has value and leave behind what you never opened anyway.

Where you are coming from

Three starting points

From spreadsheets

The most common one. You have a handful of files holding everything together, and one person who knows how they work. We take the content across and that dependency disappears.

From a folder structure

Often neatly organised, but it chases nothing. The documents come along, and get a system around them that does.

From another system

By now you know what you are missing. We look together at what really has to come out of it and move that across, rather than copying everything blindly.

How it goes

From start to in use

01

Introduction and proposal

We look at your size, your standards and where you stand now. Out of that comes a proposal with a price and a schedule.

02

Setting up your environment

Your own environment is created and the basics configured. The key users get their accounts.

03

Introduction training

Two sessions of two hours. Navigation, structure, daily use, and plenty of room for questions.

04

Filling it with what you have

Documents, processes, open actions, certificates. Want help, then we do it together. Want to do it yourself, also fine.

05

In use

From here the evidence grows along with the work. And if you get stuck, you call the help desk.

Straight about it

What you do have to do yourself

A switch is not a button. We can prepare a lot for you, but a few things only you can do.

×

Choosing what comes alongWe do not know which of your 340 documents are still current. That is half a day of tidying, and it is worth it.

×

Deciding your own structureHow your organisation fits together, who is responsible for what. We think along, you decide.

×

Bringing people with youA system gets used when people know why. The training helps with that, but it starts with you.

Questions

Frequently asked questions

How long does a switch take?

From first setup to daily use is usually a matter of weeks, not months. How fast it goes depends mostly on how much tidying you want to do along the way.

Can we bring our history?

The documents and open items certainly. With closed history the question is usually whether you really need it. Often keeping an archive is enough.

What if we get stuck halfway?

Then you call. The help desk comes with the subscription, and for guidance you can always wake us up. Also if halfway through you decide you would rather have someone alongside after all.

Do we have to run both systems during the switch?

Briefly, but not for long. Usually you pick a moment to move over and keep the old one only as an archive.

Start from where you are now

Tell us what you use now and where it pinches. We will build a proposal on that, including a realistic schedule.
