Pricing
No price per user and no modules to buy on top. The price depends on two things: how big your organisation is, and whether you cover one standard or several.
What the price depends on
How many people you put in the system and how many modules you switch on makes no difference to the price. Whether you cover one standard or several does, and so does the size of your organisation.
There is a rate that goes with it, and you know it before you start. It does not change because you started using the system properly.
At the smaller end of the SME range a little more comes off. A company of fifteen people gets the same standards on its plate as a company of fifteen hundred, with far fewer shoulders to carry it. We think that is a reason to do something, not a reason to round up.
The boundaries are guidelines, not fences. If you sit right between two, we look at what fits.
If you only do ISO 9001, that is what you pay for. Once more standards come along you move to the subscription for multiple standards. And multiple means unlimited here: how many you add after that no longer matters.
Your own client requirements and internal system requirements count within that too, at no extra cost.
Started on one standard and another comes along? You move up at the next renewal, not retroactively.
No asterisks
Not as a promotion, not as a trial, not only in the most expensive tier. Just in the subscription.
Straight about
Unlimited means genuinely unlimited here, not that there is a counter somewhere we produce later. Fair use exists for the exceptional case where usage no longer bears any relation to the size the rate was based on.
We call. First a conversation about what is going on, and only then an agreement about what changes. Never an invoice with retroactive effect, never an account locked without warning. That is in the agreement too, so you do not have to take our word for it.
Paying
The subscription runs per year. How you get invoiced is up to you, and it does make a difference.
One invoice, once a year
The price as it stands in your proposal. Nothing else to it.
Monthly, roughly 20% more
Spread across the year you end up about a fifth more expensive. Sometimes that is worth the calm in your cash flow, and then it is a good choice.
After that the subscription is tacitly renewed for twelve months. Two months' notice, and on 1 January we index on the Dutch consumer price index. All of that is in the terms and conditions.
The start
A system nobody can find helps nobody. So the start includes some setup and some explanation, and we are clear about that.
| Item | What you get | Status |
|---|---|---|
| Setting up your environment | Your own environment is created and configured, the first key users get an account and the basic knowledge to carry on themselves. | Required |
| Introduction training | Two remote sessions of two hours, with room for questions. Navigation, structure and daily use. This is what makes the difference between a system that gets used and a system that just sits there. | Strongly advised |
| Implementation support | Real guidance while you set it up and fill it: structure, content, translating requirements into your processes, and integrating what you already have. Remote or on site. | Optional |
| Standard configuration | No system in place yet? Then we set up a complete base system for you with example processes, documents and recurring tasks. So you do not start from nothing. | Optional |
Amounts are in your proposal. Hours are rounded to the half hour, and you only pay for the hours actually spent.
You may not need this
If your organisation needs VCA certification and no other standard is on the horizon, a full management system is more than you need. Look at the VCA Toolkit: templates and forms, Check HenQ Light as the software, and experts alongside you. VCA without the hassle.
Templates, forms and Check HenQ Light, with experts included. For VCA certification at company level. You handle most of it yourself.
vcatoolkit.com →The full management system, for every standard you have to meet. All modules, unlimited users, your own requirements alongside.
You are hereOur consultants and auditors. For when you would rather have someone next to you, at the build, at the audit, or all the way.
Ask about it in your proposalNot sure which of the three fits? Just call. We gain nothing from selling you something too big.
So you know
Four things you often see in software, and not here.
No price per userYou do not have to choose who is allowed in. That is exactly why systems end up half filled.
No modules to buy on topNo base package that only works once you add three things. You get the whole product.
No price per extra standardOnce you are on the subscription for multiple standards, nothing else is added. Not even for the fifth.
No entry rate that jumps laterWhat you pay in the first year is the basis for the second, plus indexation. No surprises at renewal.
Questions about price
Because the rate depends on your size and on whether you cover one standard or several, and because the start involves choices that differ per situation. One amount on the site would be the wrong amount for almost everyone. Request a proposal and you will have it in writing within a few days.
It simply goes in and you can get to work straight away. At the next renewal you move to the subscription for multiple standards. Not retroactively.
No. At setup we prepare the first key users, after that you add whoever you want. Including your field staff and your management, because they cost nothing extra.
Often, yes. If you have been a Team HenQ client for consultancy or audits, that counts. We arrange it in the proposal, not with a discount code.
You export your data yourself, up to thirty days after the end date. If you need help with that we provide it on request and agree the cost in advance. We keep the data for sixty days and delete it after that.

Tell us how big you are and which standards you have to meet, and you get a proposal with an amount in it. Want to see it working first, then we will show you.
About that demo: allow an hour, and it often runs over. That is not bad planning, that is the product. Quality and HSEQ managers want to see the details, and that is exactly where it gets interesting.
